Billing Specialist
The AR-Billing Specialist provides administrative support in the areas of accounts receivable, billing, and general accounting across all divisions and related companies of Otis Minnesota Services, LLC. The AR-Billing Specialist is responsible for supporting the AR-Billing Manager in maintaining revenue by sustaining an efficient & accurate billing system.
MAIN ACCOUNTABILITIES: Accounts Receivable – Billing
- Perform job billing analysis.
- Assist in collecting of customer accounts.
- Prepare and submit invoices on regular basis according to contract terms and company policy.
- Research, explain and resolve any variances.
- Provide excellent customer service to support project managers.
- Maintain good working relationships with internal and external customers.
- Ensure revenue is being billed properly by assisting in invoice review.
- Prepare credit memorandums as needed and in accordance with company policy.
- Ensure that transaction information balances and is posted accurately & timely to GL.
- Ensure monthly reconciliations are prepared timely & accurately.
- Work is consistent and routine with some situations requiring investigation and/or auditing.
General Accounting
- Assist with month-end procedures.

JOB REQUIREMENTS:
Education and Certifications
Required:
Associate’s degree or equivalent combination of education and experience
Preferred:
Associate’s degree in business administration, accounting, finance, or related field

2+ years of accounting experience
Preferred:
1 + years of billing and accounting experience in construction industry
Functional/Technical Competency Requirements Required:
- Experience working with generally accepted accounting principles and accounting software
- ERP system experience

Payroll Administrator
Collect, compile, record employee time and process payroll data. Process existing employees’ job transfers. Process and reconcile child support and tax withholding payments. Audit and prepare annual W-2’s. Prepares and files weekly Union Steward Reports. Prepares and remits monthly union fringe reporting and payments.
Essential Functions

- Analyzes, prepares, and inputs payroll data (weekly and in the event of lay-offs or make-up checks, could be daily). Typically uses automated system to produce accurate and timely payroll. Ensures compliance with all applicable state and federal wage and hour laws.
- Assists in preparing and filing weekly, monthly, quarterly, and year-end reports (i.e. tax deductions, steward reports, garnishments, union fringe reporting, etc.)
- Maintains current knowledge of applicable state and federal wage and hour laws.
- Remains current on payroll systems to achieve alignment with other departments.
- Respond to written employment verification requests in a timely manner.
- Maintains electronic filing database for employee files.
- Assists in auditing, preparing, editing, and distributing annual W-2’s.

- Assists in maintaining onboarding packets to include most current tax forms.
- Process union rate and fringe benefit updates when required.

Supervisory Responsibility
This position has no supervisory responsibility. This job operates in a clerical office setting. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
This is largely a sedentary role; however; some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are typically Monday through Friday from 8:00 A.M. until 5:00 P.M. Saturdays rotate and the hours are 8:00 A.M. until 12:00 P.M. Evening and other weekend work may be required as job duties demand.
Travel
No regular travel is expected for this position; however; there may be a need to visit a job site from time to time to assist with training.
Required Education and Experience
- Associate degree or equivalent from two-year College or technical school or one or more years of related experience and/or training; or equivalent combination of education and experience.
- At least 1 year of experience with payroll systems, processes, and related software programs is desired.
- Previous experience with union fringe reporting is helpful but not necessary.
- PENTA ERP system experience is a plus.
- HeavyJobs Time entry system experience is a plus.

Financial Planning and Analysis Specialist
The Productivity Analyst will support the CFO. Candidate will work with the project controls team to provide an analysis of cost/expense issues in current business results and provide recommendations for profit improvement. Candidates in this position should be comfortable working with deadlines and have strong attention to detail.
Essential Functions

- Prepare monthly cost reports and support monthly reviews with Parent Company
- Analyze cost results against plan and historical to identify pressure or opportunity in financial results
- Work closely with the procurement team to track execution and quantify companywide savings initiatives
- Work closely with project controls team to forecast revenue and identify pressures on project budgets
- Evaluate and quantify the monthly impact of inflation and other economic factors affecting our business results
- Performs complex research by gathering data from a variety of sources, which may include operational data, metrics, competitor information, and feedback from business partners.
- Conducts analyses based on operational, economic and/or financial data to quantify the competitive performance of business segments, evaluate potential operational changes, and/or design new approaches and methodologies.
